Privacy notice
This pilot notice explains the information used to operate a venue membership, check-in, credit, and email experience.
Version pilot-2026-08-v1 · Effective August 14, 2026
Information the pilot handles
- Membership information: name, email address, phone number, verification state, and communication preferences.
- Venue activity: signup venue, check-in venue and time, visits recorded through the application, issued offers or credits, and redemption status.
- Operational information: security events, session metadata, message delivery status, consent records, and audit evidence.
- The current check-in flow does not request or store raw GPS coordinates. Players Club also does not connect to a skill-game machine or measure machine play, deposits, winnings, or payouts.
Why the information is used
- Create and secure the membership and recognize a returning member.
- Record venue check-ins, display eligible credits, and complete a staff-confirmed redemption.
- Send verification, security, service, and consented venue marketing messages.
- Prevent abuse, investigate delivery or redemption problems, support deletion requests, and preserve required legal or security evidence.
Who can receive information
The participating venue organization can use its member list and program records for its own membership operations. Players Club and its hosting, authentication, database, and email service providers process information to deliver the application. The pilot does not include a feature for selling a venue's member list to unrelated advertisers.
Information may also be disclosed when required by law, to protect the service and its users, or as part of a reviewed business transaction. The final allocation of privacy responsibilities between Players Club and each venue must be confirmed in production agreements.
Retention, security, and choices
Information is retained only for the operational, security, accounting, and legal periods adopted for the service. A deletion request may remove or anonymize personal information while preserving limited consent, suppression, security, or financial evidence when required.
Members can update profile details, turn marketing email off, review active sessions, sign out other devices, and request deletion in customer settings. Reasonable safeguards are used, but no online service can promise absolute security.
Questions
Contact the venue identified during signup or in a message for questions about its member program. Privacy request intake is also available inside authenticated customer settings. Production use requires venue-specific contacts and review for every applicable privacy law.
